vCard QR Codes for Business Cards and Networking: What to Include (and Leave Out)

Encoding contact details into a QR code lets prospective clients save your number in one tap. But stuffing too much data onto an 85 mm card creates an unscannable mess. Here is exactly what to include and what to leave off.

The entire point of handing a business card to someone at a London trade show, industry networking event, or client pitch is to establish a direct connection. If that card ends up in a stack on their desk, the recipient has to manually retype your name, company, email, and phone number into their phone. In practice, over 70% of cards are discarded before that ever happens.

A vCard QR code eliminates manual data entry. When scanned by an iPhone or Android camera, the operating system immediately prompts: “Add [Name] to Contacts?”. With a single tap, your full contact record is stored in their address book.

However, the vCard format supports dozens of optional fields—from birthday and home address to notes and social handles. Stuffing all of them into a business card code is how cards become impossible to scan.

Field-by-field decision table

Every single character you encode adds physical modules to the printed code. On an 85 × 55 mm business card, keeping the character count under 250 characters is the secret to instant scanning:

Contact fieldInclude?Estimated charactersRecommendation reason
Full Name (FN)Yes15–25Essential. Use proper capitalization so phone contacts sort surname correctly.
Mobile Number (TEL;CELL)Yes13–15Include international prefix (e.g. +447700900123) for foreign roaming clients.
Direct Email (EMAIL)Yes20–30Your direct professional email address.
Company Name (ORG)Yes15–30Helps the recipient remember which company you represented.
Job Title (TITLE)Optional15–25Include only if relevant to how clients contact you.
Website URL (URL)Optional20–35Use a short domain. Omit if already printed in type on the card.
Physical Postal AddressLeave out60–90Massively bloats the QR grid. Print the office address in normal type.
Social Media HandlesLeave out50–100Adds unneeded density. Link to socials from your website instead.
Profile Headshot PhotoNEVER2,000–8,000Destroys scannability on business cards entirely.

The profile photo bloat trap

Some contact management apps offer an option to “Embed photo into QR code”. They do this by converting a thumbnail image into thousands of base64 text characters.

A standard clean vCard contains roughly 180 characters, which generates a Version 5 QR code (37 × 37 modules). Embedding even a tiny, heavily compressed 4 KB thumbnail photo adds over 5,000 characters, forcing the QR code to maximum Version 40 (177 × 177 modules).

On a 25 mm printed business card, each module in a Version 40 code measures approximately 0.14 mm—far below the physical optical resolution limit of smartphone camera lenses. The code becomes a solid grey blur that cannot be scanned by any smartphone in existence. Never embed photos into print QR codes.

vCard direct vs mobile contact landing page

Depending on your business type, you have two architectural choices for your card:

Direct vCard (Offline)

Best for: Freelancers, consultants, sales executives, tradespeople. Works instantly even in underground exhibition halls or basements with zero mobile signal.

Digital Contact Page

Best for: Creative directors, agencies, architects. Scans open a sleek mobile profile displaying portfolio case studies, social links, and a 'Download .VCF' button.

Privacy and UK GDPR considerations

Remember that a business card QR code is completely unencrypted public information. Anyone who picks up your card can scan and export every detail encoded within it.

  • Never encode your home address: If you operate as a sole trader or run a limited company from home, do not encode your residential address into the card.
  • Corporate staff cards: Under UK GDPR, employers printing staff business cards must ensure employees consent to sharing direct mobile numbers before embedding them into physical cards.
  • Static codes cannot be revoked: If you change mobile numbers or leave your firm, existing printed cards will continue saving the old number into people's phones.

To ensure 100% scan reliability at conferences and meetings:

  • Print the QR code at 23 to 25 mm wide on the reverse side of the card.
  • Preserve the full 4-module quiet zone margin on all four sides.
  • Choose an anti-glare matte or soft-touch paper finish.
  • Accompany the code with a clear call to action: “Scan to save my contact details directly to your phone”.

Contact card checklist

  • Only essential fields included: Name, mobile, email, organization.
  • Mobile number formatted with international prefix (+44).
  • Profile headshot image omitted completely.
  • Physical code size is between 23 mm and 25 mm wide.
  • Quiet zone margin is preserved and uncropped.
  • Save action tested on both an iPhone and an Android handset.

Questions before you print

Will an iPhone automatically save a vCard 3.0 code?

Yes. When scanned with the native iOS Camera app, a banner appears with a contact icon. Tapping the banner opens the native Contacts app with all fields pre-populated, ready for the user to tap 'Save'.

Does Android support vCard QR codes natively?

Yes. Modern Android versions (Google Pixel, Samsung Galaxy, etc.) natively parse vCard payloads in their camera apps and offer to save the record directly to Google Contacts or device memory.

Can I add a second phone number or fax?

You can, but each additional number increases module density. Stick to one direct mobile number for modern networking.

Why does my test scan show weird characters or line breaks?

The vCard standard specifies CRLF (carriage return + line feed) line endings. If lines are broken or fields run together, regenerate the code using our generator form, which enforces standard line formatting.

Should I encode my LinkedIn profile into the vCard?

You can place your LinkedIn URL into the URL field, but keeping the URL short is critical. If your profile handle is long, consider using a custom short redirect.
